The Rogers-O’Brien Collaboration - Digitized Sign-In and Sign-Out Sheet for Procore

Rogers-O’Brien has been building Texas for over 50 years. Their vision was to become Texas’ premier builder and they have achieved that by delivering excellence and expertise to their valued customers, through all aspects of their business.

From Paper to Digital: "Burn your PTP Cards!"

RO was grappling with an outdated paper process for managing safety forms. It was both time-consuming and inefficient. The manual scanning of documents was a significant bottleneck, prompting Thomas Lucas, a Senior Superintendent for RO, to submit an idea to the RO Innovation Station: "Burn your PTP Cards!".


The Quest for the Perfect Solution

RO's R&D Engineer, Dr. Hagen Fritz, initially developed an app to automate orientations. It was a huge success among the pilot teams, prompting RO to find a solution that was scalable and included their other safety form processes.


After thorough consideration, Nyfty emerged as the top contender. Other platforms were ruled out due to technical limitations and cost, leaving Nyfty as the frontrunner with its cost-effective and highly functional model.


Nick explained to us how their process worked prior to their collab with Nyfty and how advantageous the collaboration has been:

"Previously, we were using a manual sign-in and out sheet that needed to be collected, vetted, and processed each day. We are now able to collect better information from our trade partners, in real-time. This is huge - it gives us the ability to quickly find critical information when we need it."

How Nyfty Transformed RO’s Processes

Nyfty’s innovative system offered a seamless integration that met all of RO's needs:

  • Automated Form Solicitation and Saving: Text message Bots streamline the solicitation and storage of essential safety forms.

  • Versatile Orientations: Orientations can be conducted with or without a video component, providing flexibility.

  • Digitized Sign In and Sign Out Sheets for Procore: The data and signatures are collected digitally through a user interface rather than PDF. The Sign In/Out PDF is completed in the background and saved to Procore Docs then the data is written to Procore's Daily Log. This eliminates the need for paper, is very user friendly in the field, gives actionable data and still maintains the traditional sign-in/out sheet for our records.

  • Automated PTPs/JHAs: These are requested and triggered via the sign-in/out Bot, so if you are a Foreman and you confirm you are coming to site, the Bots know you also need to complete a PTP.

  • Procore Integration: Nyfty saves forms in either the Documents Tool or Forms Tool within Procore, ensuring seamless record-keeping. Plus, the data is written to Procore's Daily Log.


Overcoming Challenges

During the demo process, RO encountered several challenges. Here's some feedback from Nick:

  • Engagement and Training: Educating the team on how to interact with the new system was crucial. We offered the flexibility of using QR codes or kiosks, giving project teams the ability to choose the best method for their needs.

  • Clarity in Administration: Clear guidelines were established on administering the system.

  • Hands-On Assistance: Our team provided hands-on support during orientations to ensure smooth transitions for new groups of workers.

The initial version of the digital sign-in sheet had issues with size, loading speed, and user engagement. As Nick says:

"Our initial form didn't display well on a mobile device. Nyfty helped us revamp the look making collecting the information easier."

Nyfty worked closely with RO to:

  • Integrate the sign-in sheet data into their system for streamlined processing.

  • Add a question feature to collect necessary data and signatures in the user interface rather than in the clunky PDF.

  • Write all data to the original PDF form and save it in Procore, maintaining consistent records.


Nick tells us that the resulting real-time information is a big hit with the peeps at RO:

"Our teams love the ability to go to one spot to see holistically who is on site. Not having to bounce around to different PDFs or windows makes our team more efficient."

The Remarkable Benefits

The results of the Nyfty + RO collaboration speak for themselves:

  • Improved Data Quality: There has been a significant improvement in the quality of data in RO's Daily Log Manpower Report, including detailed metrics on manpower, hours, and PTP compliance.

  • Consistent Record Keeping: Forms are saved using naming conventions defined by RO, ensuring consistency and ease of access.

  • Time Efficiency: The average time to print, collect, process, and save these forms dropped from 28 minutes to just 12 minutes.
